Xitracs™ simplifies the task of pulling together all of the information required to generate a submission for an accreditation agency.
From start to finish
The submission module includes all the elements needed to manage the process from the creation of a project plan to the publishing of a submission.
Post-submission or site visit agency findings can be recorded and a resubmission generated with only relevant responses. The system is designed to support one team or multiple teams working together to accomplish an assignment. For institutions that require accreditation by more than one agency, the system can support multiple concurrent projects and reuse common information. Information from prior submissions can be copied to new projects to save rekeying and time.
A pre-configured standards matrix is available from Concord for most major agencies. A custom matrix can also be generated by our services team.
Easy to use
An intuitive browser-based interface makes it easy for team members to complete assigned tasks, such as entering narrative or adding supporting evidence.

Each section is clearly presented, together with functions to add narrative and evidence. The status of each section and any due date is also shown.
Internal review team members can see which items need action and approval.
Confidential sections can optionally be restricted to designated users only.
The project manager can assign due dates and see the status of each section.
A project calendar gives all team members information about due dates, meetings and other events.

Presentation is user selectable in month (shown), day or list view.

A familiar calendar metaphor makes it easy for team members to see events and due dates. Ongoing events are tracked and reported.
An activity log for each month is available to the project manager. In multi-agency environments, all events across all standards can be viewed.
A resource library provides a shared repository for documents and electronic files, such as evidence or reference material.
Items are stored using a familar folder metaphor. Any type of digital file can be stored, including multimedia objects. A drag-and-drop feature enables bulk upload of files and folders from a local resource using Windows® Explorer. A search function is provided to make items easy to find. An optional notes feature allows the contributor to annotate the item with additional information. Team members can select evidence from the library when adding information to a section of a standard.
Project managers can set up discussion groups to support communication and collaboration by team members.
Multiple Topics
To maximize discussion focus, topics can be created by discussion members and messages posted in a chronological thread.
Cross-standard Membership
Discussion members can be from different standards to facilitate an information flow between different teams.
The project manager can stay on top of team activity and progress and identify problem areas by choosing a specific report.
Dynamically generated
Reports are always up-to-date as they are created from current data simply by clicking a link.
Activity log
Shows a complete list of all team activity for a defined period. In addition, each section of a standard has its own activity log.
Due date report
Shows sections filtered by current due, past due or future due dates.
Progress report
Shows number and percent of sections by completion status.
A submission may be previewed at any time and published in a number of formats. The information to be included in a submission can be filtered.
Website
The system automatically generates the HTML and creates a website which can be viewed locally, saved to DVD or uploaded to a designated server. Custom templates can control the look of the website pages.
PDF (Portable Document Format)
The system automatically generates a PDF document which can be saved to disk for distribution and/or printing.
RTF (Rich Text Format)
The system automatically generates an RTF file which can be imported into a word processor such as Microsoft Word® for additional formatting.
